Ask EdVance

An AI assistant that knows your school

Ask EdVance answers questions about school records in plain language. School leaders, teachers and parents ask in their own words and get an answer shaped for their role, without hunting through menus, notices and PDFs.

What people ask it

The assistant answers from the school’s own records, notices, policies and shared documents, within what each role is allowed to see. If the school has not recorded something yet, it says so.

School leaders

  • “What needs attention across the school today?”
  • “Which classes have not marked attendance yet?”
  • “Which fee payments are overdue?”

Teachers

  • “What is due this week for my class?”
  • “Which students were absent yesterday?”
  • “What does the school policy say about late arrival?”

Parents and students

  • “What homework is due this week?”
  • “How is my child’s attendance this month?”
  • “When is the next school event?”

How it behaves

Permission-aware

Answers stay inside the school, class and child context the person’s role permits. A parent’s question is answered only from their own children’s records.

Clear about AI

Generated summaries and suggestions are marked as AI, so nobody mistakes them for a teacher’s own words.

Honest about uncertainty

When a question is ambiguous, the assistant asks for clarity instead of guessing.

Deliberate actions

The assistant answers and suggests. Consequential actions stay with the people responsible for them.

AI elsewhere in the platform

The same model helps with the work that usually slips between people.

  • Complaint categorisation. Each complaint is sorted into a category so it reaches the right person.
  • Follow-up suggestions. Staff get suggested replies to review before they respond.
  • PTM feedback summaries. Parent-teacher meeting feedback is grouped into common themes for the school to review.

Disclosed up front, used with agreement

Everyone is asked before the assistant is used, as the Digital Personal Data Protection Act, 2023 and the app stores expect.

  • Parents and staff agree to use the assistant as its own tick on the consent screen, next to the Terms of Service and Privacy Policy. The agreement is recorded with the version, the date and time, and how the person was verified.
  • A parent can withdraw it at any time from Support in the app or through the grievance officer. That child’s records are then not sent to the assistant on any screen, including the assistant used by teachers and staff. Every other school service keeps working.
  • The language model is provided by OpenAI in the United States. Requests are sent with storage switched off, and without the person’s name, email or phone number as an account identifier.
  • Assistant conversations are kept for 90 days.

The full details are in the Privacy Policy, with the list of service providers.
